How do we tell if a job is on the calendar already?
In the schedule tab on the left hand side “scheduled jobs” jobs are differentiated so you know it has been transferred onto the calendar by a subtle (perhaps too subtle!) border colour. For example:
a booked job will show in the left hand pane with a grey border, this is not currently confirmed on the calendar/scheduled:
as you move this job on to the calendar the border changes to blue, it is waiting for you to confirm it.
a confirmed job ( that is on track) will show in the left hand pane with a green border
a confirmed job that is overdue/or not fully completed by due date is in the left hand pane with a red border
eg.
Tasks - group with products/materials, comments and record more specific information.
We will need to review all job card types for mobile view (other than single) which are currently associated with a task to record more specific detail eg. cartage how many loads, weight and description of load.
In the meantime you can add multiple tasks eg load 1 where the "size" is the actual confirmed weight, or by adding "load" as a stock or service item so it can be selected by the operator and the qty entered is another approach - and if all else fails have your team add the load information into Job Comments so it is recorded.
This may be reviewed in conjunction with products/materials and comments that need to be grouped with a task and is a future step for mobile view.

In the future we expect you would be able to do this by loading one task (one task = one job sheet) and to be able to add multiple implements. For now if you use two implements load them as one resource ie. Baler/Wrapper and this will be able to be assigned against a task. The only downside to this is in your resources view or for your utilisation reports you now have the combined resource and the two individual resources that could all have allocations against them (eg. if baler/wrapper is scheduled the "baler" component if loaded as a separate resource will still look like it is available.)
Job Cards- when printing multiple job cards the top overlaps.
When printing multiple job cards (ok on single or one by one) the top overlaps making the header information unreadible. [First reported by Rachel @ Jacksons]
this appears to have righted itself - let me know if you still have this problem.
Site address not displaying map
Thanks Dionne for raising this query :) The address has been loaded against the site location but no map displays (or one of a pin in the sea!). How do I get the map to display?
Hi Dionne, this occurs when google maps cant find the address as you have loaded it. Go to https://www.google.co.nz/maps and enter the address there, google will often provide alternative spellings or the area you are looking at and you can refine the address from there.

Enter the address (if its the correct one) as it is listed in google - in this case 617 Maungarangi Rd, Paengaroa, 3189.
If it is still not correct find the address on google, drop a pin on the map and save the image as a .png or .jpg and upload this as a custom map.
Job Cards / Job Sheets Printed Templates - need review
A number of customers have raised the improvements for the printed Job Cards/ Job Sheets like:
- can the print be darker, the grey is hard to read?
- can these be edited?
- can the task show as prominent as the Job Type at the top?
- can the information the worker/operator sees and fills in include eg. no of bales, qty of wrap or cover, as well as the hectares and hours (be great if this could be linked to /grouped with a task, so only relevant product and qty's required are displayed on a task by task basis)?
-can we "hide" the fields we dont use so as to not clutter up the Job Card / Job Sheet?
-can we have our logo on this?
-can information be better organised on the sheet?
Scheduler - the "x" beside the task doesnt remove the task or clear the assignments

a) what is it supposed to do?
b) can it be fixed to do what it is supposed to do?
This has been fixed ( it now clears the assigned resource on the task) - released Oct 5th.
Add a secondary billing contact
Roz has askedd to add a secondary contact to pass through to Xero to get a copy of the invoice too (eg an accountant or office person), this will then marry up with xero and add another person. (note we discovered Xero only allows the second person to get emails if the primary contact has an email address)
My Job when invoiced in Xero isnt showing/hasnt calculated GST. How do I fix this?

Thanks Dionne, the GST in Xero is driven at a line item level and needs the "Account" code (this is the Chart of Accounts Code in Xero) to match for GST to show, as it is set in Xero. In JobFlow against a Product, Material or Service you can select your GL Account (JobFlow retrieves these when you connect with Xero for you to select from), you can also select your GL Code when creating a JobTemplate for a "Task" to map to as well.
To select the GL Codes in JobFlow go to Settings, Stock, on the far right in JobFlow is the GL Code - click on Please Select and your chart of accounts codes will display for you to select from.
You can also add this when the invoice has come through to Xero as a work around until all of your GL codes have been selected.
Check also on on your " customer contact " in Xero to make sure the GST is set to default rather than "No GST" or "Zero Rated"
