Advice on which program to use for invoicing

Hello,

I want to create an invoice system for sequential Work Orders that automatically lookup description and cost of items in a 184979 line calc spreadsheet. I current use vlookup to return the information correctly but think a database would be better suited for generation of reports, printed invoices and work orders. I have programmed some with dBase3 and more extensively with Approach. I have no real experience with SQL or Access/Base. I have viewed quite a few of the tutorials on YouTube but still thought it wise to ask someone with more database experience than I, which would be almost anyone .

Add a duplicate task from the scheduler (time saver)

We have been discussing the possibility of benefits job flow may provide us by the addition of adding to the Scheduler a “+Task” button for our managers to use.   They are wanting the “+Task” button to be used similarly to how the “+Day” button works.

 

  • The “+Task” button would repeat the same task, complete with the resources already assigned to it for the next day.

 

  • The “+Task” button would have the flexibility to the allow the managers to either keep the existing resources assigned to the task or change them if required.

 

  • In the ”job screen” it would show the same task, same resources, but with next day’s date assigned to it.

 

  • The point of difference would be that any hours worked on the original task would Not be carried forward using the “+Task” button.

 

  • Our operators would complete/finish their task each day regardless of whether the whole task was finished or not - not just ”pause.”

 

We then see the hours worked for each individual task each day on the “job screen” instead of having to go into the activity log and separate out the hours worked each day.

 

Now we understand by doing this there may be a very long list of the same tasks showing up in the job screen because of this.  So, to assist in reducing this issue for billing/invoicing purposes, we have come up with the idea of adding (only on the “job screen”) a “+Total task calculation” button.

 

  • The “+Total task calculation” button would have the capability to allow us to choose or select which tasks we wanted to calculate together for total hours or hectares worked for that same task.

               

  • We are thinking it could be located at the bottom of the Job screen alongside the current buttons for “save job”, “+add job”, “duplicate job”, “duplicate with assignments”, etc

 

  • The total hours for the task would or could then be shown in the “Job summary section” in “Job Review” view on screen before being invoiced out.

Photos attached to jobs

Would it be possible to have the ability to add a photo to the job/job card?

Like say the person booking and setting up the job could add a photo of the entrance to the property if it is something tricky to recognise?

Or maybe an operator mowing a paddock finds a wet spot or a dangerous object and they could take a photo and add it in the comments?

Or a broken post someone needs to go back and repair?

Create and complete a task on the fly

Thanks to Hayden for suggesting this at the recent rural contractors conference.  His idea was to allow a driver/operator to create and complete an 'orphan task' on a mobile device.  This would allow the driver/operator to record actuals against the task. Someone back in the office could then sort out whether this task belongs to an existing job or whether a new job should be created.


If executed, this idea would cover the following situations:

  •  where the driver/operator is unable to receive a new job (due to no cell cover) but where the customer wants extra work done while he's on site
  • Where the dispatcher/scheduler can relay a new job by RT but can't send the job to a mobile device due to lack of cell cover

In the jobs cards menu can we search for an operator so I can print all their job cards (even across multiple tasks) for the day

It would be great to have email alerts - or app alerts if an app is being built to that a user or operator is notified once a task has been added against their name, ether for that day or days ahead

Comments section . When entering data

When I am reviewing jobs and entering the actual hrs etc for invoicing.  We often buy in material e.g. gravel, rock, novaflowl   etc it would great if we could write a comment regarding where its from etc.  Also when entering tasks, it would be a good idea to be able to write comments e.g load counts.  doesn't necessary need to be printable, .


Also another quick thing, is it possible to add another task not normally associated with the task, or do we have to go and change the template everytime.

Printed Job Cards - not showing worker when printing in multiple

A worker is scheduled against the job and can be seen in the job details https://prod.jobflow.nz/#/jobs, we can also print this single job card from the job details page and it shows the worker.

However when printed from the Job Cards page, with the rest of the job here https://prod.jobflow.nz/#/jobcards/ it doesnt show the worker.

Hi Rusty, while you are working on that one could you look at jobs moving from scheduled to completed automatically once all the tasks have been completed? This would take them out of the Schedule and un-clutter that window instead of waiting until the status is physically changed in the office.

Alternatively would it be possible to change the status easily in the Job tab view instead of going into each job individually.
